Church Administrator
Reports To: Lead Pastor
Hours: Part-time (20 hours) –We desire a consistent on-site presence Monday-Thursday though there is flexibility in scheduled work hours.
Pay: Hourly at $25 (paid every 2 weeks). Benefits – holiday, vacation and sick pay.
Required Attendance: Weekly Monday Staff Meeting, Monthly Ministry Leadership Team (1st Thursday of the month), Sunday morning services, and flexibility for occasional evening and weekend responsibilities.

Role Description: The Church Administrator is responsible for overseeing the day-to-day administrative operations of the church. This role ensures that the church functions efficiently and effectively by managing office tasks, supporting ministry leaders, and maintaining records. The administrator serves as a key point of contact for staff, volunteers, and the congregation.

Spiritual & Personal Qualifications:
• Has received Jesus Christ as Lord and Savior and actively pursues a growing relationship with Him.
• Views this position as a ministry opportunity to grow in faith and serve the body of Christ.
• Begins each workday with 5–10 minutes of stillness before the Lord (Psalm 46:10), seeking His presence, wisdom, and guidance.
• Regularly prays for the church, its leadership, and the responsibilities entrusted to them.
• Fully agrees with and supports the church’s statement of faith, vision, mission, and core values.
• Believes the Bible is the inspired Word of God and the foundation for faith and daily living.
• Demonstrates a Christ-like character in speech, attitude, and behavior, modeling biblical standards of morality and sexual conduct (1 Timothy 4:12; Luke 6:40; Colossians 3:17; Titus 2:7–8; 1 Thessalonians 2:10, 5:22).
• Committed to personal growth, self-awareness, and continuous improvement.
• Exhibits a joyful, positive, enthusiastic, and collaborative spirit.
• Maintains confidentiality, humility, and a servant-hearted approach in all interactions.

Professional Qualifications:
• Minimum of 2 years of administrative leadership experience, preferably in a church or nonprofit setting.
• Highly organized, detail-oriented, and capable of managing multiple tasks and priorities.
• Self-motivated and proactive, able to anticipate needs and take initiative on projects.
• Skilled in time management, delegation, and meeting deadlines.
• Proficient in church management software (e.g., Breeze, Planning Center) and Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
• Strong written and verbal communication skills.
• Able to work independently and collaboratively with staff, volunteers, and church members.
• Flexible and adaptable to changing needs and unexpected tasks.
• Spanish language ability is helpful but not required.

Specific Duties & Responsibilities

Administrative Oversight
• Maintain accurate and up-to-date church records, files, and databases (e.g., membership, donations, events).
• Manage and update the church calendar, including all activities, events, and facility usage.
• Sort and distribute mail and oversee volunteers who assist with this task.
• Check and respond to office phone messages and emails, or delegate to volunteers.
• Follow up with guests via phone, email, text, or in-person, or oversee volunteers who do.
• Resolve issues related to computers, phones, copiers, and internet; contact external support when needed.
• Maintain all insurance policies, church rental agreements and outside contracts associated with the church.

Ministry Support & Leadership
• Provide administrative support to all church ministries.
• Provide leadership oversight with regular meetings with Connections, Facilities, Finance, Events, IT, Community Groups. Part of this oversight includes helping them create ministry goals and ensure accountability for progress and alignment with church mission.
• Collaborate with ministry leaders to develop annual budgets, provide ongoing support, and ensure adherence to approved budgets.
• Engage with individuals seeking to connect with the church and guide them to appropriate ministries or groups.
• Ensure all ministry activities under their responsibility aligns with the church’s mission and vision.
Financial Administration
• Approve payroll for all part-time staff every two weeks.
• Sign checks during the week as provided by the bookkeeper.
• Assist with financial tracking and reporting in collaboration with the finance team.
• Coordinate payment for pulpit fill for English and Hispanic services.
Event & Facility Coordination
• Develop and manage event planning calendars and facility usage schedules alongside regular communication with the Facilities Manager.
• Communicate event and facility plans clearly to staff, volunteers, elders and ministry leaders.
• Coordinate logistics for church-wide events and support ministry-specific gatherings.
• Keep office kitchen supplies/coffee stocked and change out water jugs as needed in the office
Staff & Volunteer Coordination
• Lead weekly staff meetings to ensure alignment, communication, and collaboration.
• Provide leadership and oversight to office volunteers, ensuring tasks are completed efficiently.
• Delegate responsibilities appropriately and support team members in their roles.
• Work alongside Lead Pastor to build a healthy staff culture by each other understand one’s roles & goals, how conflict is an opportunity to grow, and needs of each staff in how God designed them.
Special Projects
• Willingly takes on special tasks/projects as assigned by the Lead Pastor and/or Elders.
• Coordinator a team for Family Camp.
